Privacy Policy
SnagATime LLC ("SnagATime", "we", "us", or "our") is a Washington limited liability company that operates the SnagATime platform — a marketplace and operator software for indoor entertainment venues. This Privacy Policy explains what personal information we collect, how we use and share it, and the rights you have over your information. It applies to everyone who uses our website, our mobile applications, our APIs, or our software services (collectively, the "Services").
By using the Services you agree to the practices described in this Privacy Policy. If you do not agree, do not use the Services.
1. Who this policy covers
SnagATime serves two audiences:
- Consumers — golfers and other guests who use SnagATime to find, book, and visit indoor activity venues.
- Operators — facility owners and staff who use SnagATime as the software running their business.
The same privacy practices apply to both audiences. Where the practices differ — for example, the additional account information collected from operators — we call out the difference below.
2. Information we collect
Information you provide
We collect information you give us directly, including:
- Account information. Name, email address, phone number, password, and (for operators) business name, business address, and tax / payment information.
- Booking information. Reservation details, party size, time, venue, payment method, special requests, and any waivers you sign through the platform.
- Communications. Messages you send through the platform, support requests, survey responses, and feedback.
- Operator content. Listings, photos, descriptions, hours, pricing, rules, and other content operators publish on their facility's pages.
Information we collect automatically
- Device and usage data. IP address, browser type, operating system, pages viewed, referring URLs, timestamps, and similar technical information.
- Location data. Approximate location derived from IP address. If you enable precise location ("near me" search), the location you provide.
- Cookies and similar technologies. We use cookies and similar technologies for essential platform functions, security, and basic analytics. We do not use behavioral advertising cookies as of the date of this policy.
- Third-party asset requests. When you load pages on our site, your browser may request hosted assets from third-party providers we use to render the site, such as Google Fonts. Those requests may include technical information such as your IP address, browser details, and referrer information.
Information from third parties
- Payment processors (Stripe) provide us with payment confirmation, the last four digits of a card, and similar information. We do not store full payment card numbers.
- Identity verification (where applicable for operators) may include information from Stripe Identity or similar services.
- Public sources. For our directory of venues, we collect publicly-available information about facilities (name, address, website, hours, type of activity).
- Hosted web-font providers. Our marketing site currently uses Google Fonts to serve Plus Jakarta Sans, Inter, and JetBrains Mono. As a result, Google may receive technical request data from your browser when pages load.
3. How we use information
We use the information we collect to:
- Provide the Services, including processing bookings, payments, and communications;
- Operate our marketplace directory and connect consumers with operators;
- Send transactional messages (booking confirmations, reminders, door codes, receipts) by email and, where you have opted in, by SMS;
- Provide customer support, including through automated assistance;
- Improve, secure, and develop the Services, including detecting fraud and abuse;
- Comply with legal obligations.
We do not sell personal information. We do not use personal information for behavioral advertising or share it with third parties for their advertising.
4. SMS messages and your consent
SnagATime may send SMS messages to phone numbers you provide, including transactional messages (booking confirmations, reminders, door codes, receipts, and account updates) and, where you have opted in, messages from operators of facilities where you book.
- Opt-in. You opt in to SMS by providing your phone number during booking or account setup and consenting to receive messages from SnagATime and the operators of facilities you transact with.
- Message frequency. Message frequency varies based on your activity (typical: 1–10 messages per month for an active user; more during periods of frequent bookings).
- Opt-out. You can opt out of SMS at any time by replying STOP to any message we send. To re-subscribe, reply START.
- Help. Reply HELP to any message for assistance, or email admin@snagatime.com.
- Carrier rates. Message and data rates may apply. SnagATime is not responsible for charges from your mobile carrier.
- Operators sending SMS. When you book at a facility that uses SnagATime, the operator may send you SMS messages related to your reservation through SnagATime's platform. Operators are required by their agreement with SnagATime to comply with applicable SMS regulations and your opt-out preferences.
5. How we share information
We share personal information only as described here:
- With operators of facilities you book. When you book at a facility, we share the information necessary to fulfill the booking (your name, contact information, booking details, special requests, waiver). The operator may then contact you about your reservation.
- With service providers. Companies that help us run the Services, including hosting (Railway), payment processing (Stripe), SMS delivery (Twilio), email delivery, analytics (privacy-preserving, currently Plausible Analytics), customer support tools, and hosted web fonts (Google Fonts). These providers are contractually limited to using the information only to perform services for us, except where they act as independent service providers for browser-delivered assets.
- For legal reasons. When required by law, court order, or to protect our rights, the rights of others, or to prevent fraud or harm.
- In a business transfer. If SnagATime is involved in a merger, acquisition, or sale of assets, we may transfer information as part of that transaction, subject to standard confidentiality protections.
6. Your rights and choices
- Access and correction. You can review and update most account information by signing in to your account. You can also email us to request a copy of the information we hold about you.
- Deletion. You can request deletion of your account and associated personal information by emailing us. We may retain limited information for legal, compliance, fraud-prevention, or legitimate business purposes.
- Marketing communications. You can opt out of marketing emails using the unsubscribe link in any marketing email. Transactional communications (booking confirmations, account updates) continue regardless.
- SMS. Reply STOP to any SMS to opt out.
- California, Colorado, Connecticut, Utah, Virginia, and other US state rights. Residents of states with privacy laws have additional rights including the right to know what we collect, the right to deletion, and the right to opt out of "sale" or "sharing" for cross-context behavioral advertising (which we do not do). To exercise these rights, email admin@snagatime.com.
- EU / UK residents. Where the GDPR or UK GDPR applies, you have the rights to access, rectify, erase, restrict processing, port your data, and object to processing. You can also lodge a complaint with your local supervisory authority.
7. Data retention
We retain personal information for as long as your account is active and as needed to provide the Services. After account closure, we may retain information for tax, legal, compliance, fraud-prevention, and dispute-resolution purposes for a reasonable additional period. Operator records (bookings, payments) may be retained for the period required by applicable financial-records regulations.
8. Security
We use industry-standard security practices to protect personal information, including encryption in transit (TLS), encryption at rest for sensitive fields, role-based access controls, and audit logging. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you as required by law.
9. Children
SnagATime is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it. Some venues may have their own age restrictions; consult the venue's policy before booking on behalf of a minor.
10. International transfers
SnagATime is based in the United States and our service providers are located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored in, and processed in the United States, which may have privacy protections different from your jurisdiction. By using the Services, you consent to this transfer.
11. Cookies and tracking
We use a small number of cookies and similar technologies for essential platform functions (authentication, security, preferences) and for privacy-preserving analytics. We do not use behavioral advertising cookies or cross-site tracking pixels. You can control cookies through your browser settings; disabling essential cookies will prevent the Services from working.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top and, where appropriate, notify you by email or through the Services. Your continued use of the Services after a change indicates your acceptance of the updated policy.
